Privacy Policy
This Privacy Policy explains how AWC7E collects, uses, stores, discloses, and protects information when you use our mobile application, website, and related services.
1. Who We Are
AWC7E is a multi-tenant business communication platform used by independent companies and their authorised personnel to communicate with and support their own customers. References to “AWC7E,” “we,” “us,” or “our” refer to the operator of the AWC7E platform.
Participating companies may independently determine why and how customer information is used within their workspaces. Depending on the circumstances, a participating company may act as the controller of customer data, while AWC7E processes that data to provide the platform.
2. Information We May Collect
Account and profile information
We may process names, usernames, email addresses, business or company affiliations, role information, authentication records, and other account details provided by you or your organisation.
Conversation and content data
We may process messages, images, voice recordings, attachments, timestamps, conversation assignments, delivery status, and other content submitted through the platform. Users should only upload content they are authorised to share.
Device and technical information
We may process device identifiers, operating-system information, app version, IP address, language, time zone, diagnostic logs, error information, security events, and push-notification registration tokens.
Support communications
When you contact support, we may process your contact details, correspondence, screenshots, diagnostic information, and other information needed to investigate your request.
3. How We Use Information
- Provide, maintain, and improve AWC7E.
- Authenticate accounts and enforce workspace permissions.
- Transmit, synchronise, store, and display conversation content.
- Deliver push notifications and conversation updates.
- Enable user-initiated voice recording and voice features.
- Provide customer support and troubleshoot technical problems.
- Prevent fraud, abuse, unauthorised access, and security incidents.
- Comply with applicable legal obligations and enforce our terms.
4. Notification Permission and Push Tokens
AWC7E may request permission to send notifications. Notifications may inform authorised users about new messages, conversation assignments, account activity, or service-related updates. The app may register a push token with services such as Firebase Cloud Messaging or Apple Push Notification service to route notifications to the correct device.
Push tokens are used for notification delivery and service security. Users can disable notifications in their device settings, although doing so may delay awareness of new conversations.
5. Microphone Permission and Voice Data
AWC7E requests microphone access only when a user intentionally records a voice message or starts a supported voice communication feature. The app does not intentionally activate the microphone for continuous background listening or recording.
When a user records and sends a voice message, the resulting audio file may be uploaded to and stored by AWC7E so authorised participants can access it as part of the conversation. Users can deny or revoke microphone permission at any time. Text messaging remains available without microphone permission.
6. Images and Attachments
When a user chooses to upload an image or attachment, AWC7E processes the selected file to transmit and display it in the relevant conversation. AWC7E does not need unrestricted access to a user's entire photo library where the operating system provides a limited file or photo picker.
7. How Information May Be Shared
We may disclose information:
- To authorised users within the relevant company workspace.
- To the participating company responsible for the relevant customer relationship.
- To infrastructure, cloud hosting, messaging, push-notification, monitoring, storage, and security providers that process information on our behalf.
- When required by law, legal process, or a valid governmental request.
- To protect rights, safety, security, and the integrity of AWC7E and its users.
- As part of a merger, acquisition, financing, reorganisation, or sale of assets, subject to appropriate safeguards.
We do not sell personal information for monetary consideration. We do not use microphone recordings for advertising profiling.
8. Multi-Company Workspaces
AWC7E is designed so that users access only workspaces authorised for their accounts. Participating companies are responsible for managing their staff access, customer communications, legal notices, and their own use of customer information.
9. Data Retention
We retain information for as long as reasonably necessary to provide the services, maintain business and security records, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods may vary according to data type, workspace configuration, contractual requirements, backup cycles, and applicable law.
When information is deleted, residual copies may remain temporarily in backups or security logs until they are overwritten according to normal retention schedules.
10. Security
We use reasonable administrative, technical, and organisational safeguards designed to protect information. These may include authenticated access, role-based permissions, secure network transmission, logging, monitoring, backup controls, and restricted administrative access. No system can guarantee absolute security.
11. International Processing
AWC7E and its service providers may process information in countries other than the user's country. Where required, we use reasonable measures intended to protect information during international processing.
12. Your Choices and Rights
Depending on applicable law and your relationship with AWC7E or a participating company, you may be able to request access, correction, deletion, restriction, objection, portability, or withdrawal of consent.
For customer conversation data, the relevant participating company may be the appropriate party to handle your request. We may refer a request to that company when necessary.
To submit a privacy or deletion request, email privacy@awc7e.com. We may need to verify your identity and authority before completing a request.
13. Account and Data Deletion
Authorised users may request account deletion through their organisation or by contacting privacy@awc7e.com. Deleting an account may not automatically delete business conversation records that a participating company is legally or operationally required to retain.
14. Children's Privacy
AWC7E is intended for authorised business users and is not directed to children. We do not knowingly invite children to create business-user accounts. If you believe a child has provided information directly to AWC7E without appropriate authorisation, contact us.
15. Third-Party Services and Links
AWC7E may rely on third-party infrastructure or include links to external services. Their privacy practices are governed by their own policies. Participating companies may also use AWC7E to discuss services governed by those companies' own terms and privacy notices.
16. Changes to This Policy
We may update this Privacy Policy to reflect product, legal, or operational changes. We will publish the revised policy on this page and update the “Last updated” date. Material changes may also be communicated through the app or other appropriate channels.
